Privacy Policy

The General Data Protection Regulation (GDPR) was introduced on 25th May 2018, therefore Release Pilates are obliged to provide a Privacy Policy to inform you of the information we hold about you and what your information is used for.

This Privacy Policy explains how personal data is collected, used, and protected by Elise / Release Pilates, a sole trader Pilates instructor based in the UK.

1. Personal Data I Collect

I collect personal data you voluntarily provide via a Physical Activity Readiness Questionnaire (PAR-Q), including:

  • Name and contact details

  • Health and medical information relevant to safe exercise

  • Emergency contact details

  • Any other information you choose to provide
     

2. How Your Data Is Collected and Stored

  • Data is collected via Google Forms within my Google Workspace account

  • Responses are stored securely on Google Drive

  • Access is restricted to me only
     

Google Workspace uses industry-standard security measures. While reasonable steps are taken to protect your data, no online system is completely secure.

3. Lawful Basis for Processing

Your personal data is processed under the following lawful bases:

  • Consent (for collecting PAR-Q and health information)

  • Legitimate interests (to provide safe and appropriate Pilates instruction)

  • Legal obligations (where applicable)
     

4. How Your Data Is Used

Your data is used solely to:

  • Assess readiness for physical activity

  • Design safe and appropriate Pilates programmes

  • Communicate with you about sessions or safety matters

  • Maintain professional records
     

Your data is not sold or used for marketing without explicit consent.

5. Data Retention

Active clients: data is retained for the duration of our working relationship plus 12 months after your last session.

Inactive or non-continuing clients: data is retained for 12 months after the last form submission or contact.
 

After this period, data is securely deleted unless required for legal reasons.

6. Sharing of Data

Your data is not shared with third parties except:

  • Where required by law

  • In the event of a medical emergency

  • With your explicit consent
     

7. Your Rights Under UK GDPR

You have the right to:

  • Access your personal data

  • Request correction of inaccurate data

  • Request erasure of your data (where legally permitted)

  • Withdraw consent at any time

  • Lodge a complaint with the Information Commissioner’s Office (ICO)
